  • Managing Kits for Family Members

My family had decided to do the FTdna Family Finder first. so far each individual has their own Kit# and passwords...the kits were ordered in my name...then when I recieved them I changed the "name" of the person from me to their name...but left addresses, emails, etc. in my name..

My main question is this...is their a way you can combine ALL the kits together under 1 main account for ease of use for manager of these accounts? One main page with everyone's kit numbers displayed..

Also for an example in the future my mother is taking the miDNA and when she gets her Haplogroup how can I transfer or type in Haplogroup # to my account or Kit#(since I manage her account and we share the SAME DNA)...because I will have no need to test for the miDNA...likewise my brother will only do the Y-DNA and no use for the miDNA since Mom tested (and we are the from the same mother)

    Sorry for so many questions...

There is no simple way. I manage multiple kits and know that the closest there is to that is having a group project with all your kits in it. It isn't a perfect option to begin with, but it puts all kits into the same place that you can access with one account. You still need to click on each to view their matches and results. There is a whole process on creating a group project. The form you need to fill out to great a project and therefore you become the administer of it is here. You would be making a Family Finder project I believe.

It is labeled mtDNA not miDNA. You can't transfer it. You could make a note of it in the profile of that person's kit.

No need to be sorry. This place exists to answer questions and discuss anything related to FTDNA and genetic genealogy.

By the way, you can transfer your Family Finder data onto Gedmatch.com for free. This way you can find matches that did not test with FTDNA. The email you use to register the account will be the way matches can contact you.

Would the Family Finder Account be a "Public" project or can you make it a "private" project....you know "private" only the kits you want to manage not others coming in that you don't know if they have a connected? Just a question to so I can decide if I want to go that route...I would have 8 kits to manage including my own. (Me, my mom, my two siblings, my husband, his mom, and two siblings....and then in the future bring in my two boys

It would be a group administer project (GAP) account. Family Finder projects are private by default, I believe, as none of them are listed on the projects page. Even if it isn't private by default, there are settings that allow you to remove it from the list of projects and make it impossible for others to join without your authorization.

Once you get the project approved (I don't know if they ever disapprove) you will have to make a GAP account. The suggestion is to make your username, your email address, but you don't have to. I remember that you get asked which kit is associated with your GAP account, pick your own kit. That way they know that admin account is one in the same with your actual kit.

I don't know how you get your other kits to join the project, I think there will be a link you can just use when you log into each kit one at a time to join. Maybe someone who has made a FF project can give more details.

If they are kits you manage, ones you know kit number and password, Log in to your GAP account and go to My Account>Kit Authorization. This gives the Admin full access to kits.

For other kits that you do not have the password for, you can invite them to join project by going to Project Administration > Join Authorization > Send Join Request (may have to accept join request if they accept under the View join requests)

Alternate method is to send them your Returning Join Link listed under Project Admin > Project Profile (kit holder must be logged into their account to use link).

These gives admins only limited access to kit based on kit holders settings. Admin will see everything as you see it, but will be restricted on changing settings, viewing mtdna coding regions (unless enabled by kit holder) and accessing Raw Data. See picture for what limited access gives admin.

It gave you a kit number for her. So use that kit number to log in, not your own.

                Managing Kits for Family Members

I set up a family project to manage both my uncle's kit and my own. His kit has both YDNA and Family Finder results, and my kit just has Family Finder results. I found that I needed to add my uncle's kit to the project, as the project was just initially tied to my kit. You probably would need to add each kit to the project individually. I've found the MyGroups format the easiest to work with.

                  Sticky situation of unexpected access

I contacted a cousin and she helped organise the collection of samples for herself and her two brothers. Today I get a notification that the first kit has arrived at the lab.
When I went to log in I could not do so as it said kit number and password not correct. This was strange as I had logged in before.
So I reset the password and discovered that the person who supplied the sample had added his email to the profile despite my not having given him the password. I assume he had used my email and the kit number to reset the password.

I was a bit alarmed at this and removed his email and changed my email to another one which I don't think he has.

I can understand that he would want to be involved but I was a bit concerned he had not contacted me and just reset the password. At least he did not remove my email which could have left me out in the cold. If he has access to the kit he could indirectly get access to the other kits I manage as he could do the same thing. Just use my email to reset the password.

I am now in the sticky situation of him finding out I have removed him from the profile. I am not sure what to do about this. Everyone else was ok with me passing on any discoveries to them. They never wanted access themselves. It could be a very difficult situation.

I have started the process of setting up a project just for myself and the kits I manage. I hope this might be a satisfactory way of dealing with the matter. He could look at the results on the project without having access.

Hopefully it should be all set up by the time the results come out.

I will also have to create a new generic email just for FTDNA kits so someone wont do the same thing again.

It would be good if FTDNA kits had a read only feature.

Having the e-mail is NOT something that gives you access to the Kit.
If you click that you forgot the password, they will send the info to the Primary e-mail - and not to the others.
So having access to whichever e-mail is listed as the Primary e-mail is important for that. Just knowing it - of no importance.

And having the e-mail listed is important if you want to get announcements about the Kit. It is not important for logging in to the Kit.

In my opinion -- If it is his DNA, he definitely has the right to have access to the Kit. And I do not believe you have the ethical right to deny him that.

When you ordered the Kit, did you put his e-mail as e-mail of person kit was being sent to? Or - could he have put his e-mail on the "Permission Slip", and maybe FTDNA added it from that?

My guess would be his e-mail got added one of those ways -- and also that you probably failed to get in due to having accidentally mistyped something - in all likelihood he did not change the Password - especially since if he had, I think you would have been notified since apparently you were still the Primary E-mail (otherwise, you would not have gotten notification of the new password after you asked to have it re-set).

FTDNA covers DNA rights under their privacy policy.
                      Here it is:

3rd Party Payments and Account Access
If a person consents to testing that is paid for by another party, that person is consenting to allow that individual or group project access to their results and information, even if they order and pay for additional testing later. The purchaser of a test cannot deny access to the account and raw results of the test taker.

Should the test taker no longer want to allow the purchasing individual or group to have access their account, the test taker may reimburse the purchasing individual or group the full amount of the purchase price and return sole access of that account to test taker only. Once the test taker has provided documentation to Family Tree DNA that they have provided a full reimbursement of the purchase to the original payor, we will be able to return access to test taker alone. Please note that although a test taker may reclaim ownership of the record and DNA stored with Family Tree DNA, they cannot undo any prior data downloads or sharing outside of Family Tree DNA.

Someone else having access to an account (and sharing passwords) is not a problem in itself as there is nothing on there that anyone can 'mess up' or wreck.

When I manage kits for other people I give them the log-on details however I maintain the primary email address as so as I can handle all enquiries etc. I'm sure you will find the testee will not want (or have the expertise) to handle email communications re. their DNA.

Your case may just be one of misunderstanding so you might be better communicating with them and sorting it out rather than risk an argument brewing when everyone gets their defenses up.

                          Unusual situation.

After some consideration I suppose there is some merit in your opinion about the donor having access. I guess I just got a bit freaked out at having the password reset. It has happened again so I will probably try to negiotate a compromise with him. I have not had this situation arise before and was unprepared for it.

I am a bit concerned also about him indirectly getting personal information on my other kits through access to his own.

When you say he has your email, do you only mean that he knows your email address or that he has access to your email account? Also, we are talking about a regular FTDNA kit account right? Not a group admin account?

What kind of data could he get from a kit with his DNA sample tied to it? If you mean what you have for the kit's address, you can simply change that. Though you should keep it correct when performing tests in case FTDNA needs to send you a new kit to collect a fresh DNA sample. If no tests are being processed, then it does not matter.

I think what happened was he reset the password, then I had to reset it to get back in. He must have included his email with the kit when he sent it off. Then he would have gotten an email when the kit arrived at the lab.
There must be long delays with emails at the moment because I got the email about the password being changed only yesterday even though it had been a week.

Anyway I have had some time to think about it and I will probably contact him about it. After all he is a cousin. One I have had no contact with previously. I just got a bit thrown by a new situation.
